Sales Approvals

Sales approvals are used to control the approval process of sales orders before execution. Each sales transaction goes through a series of approvals that determine whether the order can proceed and whether related documents, such as (CI - NR - IO), become available.

Sales Approvals

  • Go to the “Sales” module.

  • Open the “Sales approvals” page.

  • Select the date range.

  • Select the Stock item classification (if needed).

  • Click on “Show Orders”.

Sales orders for the selected period will be displayed. These orders pass through several approval stages, and each stage depends on specific conditions being met.

If the conditions are met, the approval is automatically completed by the system. Otherwise, the approval is blocked and requires authorization from the responsible user. These approvals include:

  1. Over credit limit: Calculated based on the customer's total debt (current balance + Installments in approvals + On account in approvals). If the credit limit is exceeded, approval from the responsible user is required.

  2. Past-due notes: Verifies that there are no due and unpaid cheques for the customer. If any exist, approval from the responsible user is required.

  3. Sales User: Requires reviewing and approving prices. This approval must be completed manually by the responsible user and is not processed automatically by the system.

  4. Collection User: Approved automatically upon full payment (cash or bank). If an installment or on-account payment exists, approval from the responsible user is required.

  5. Payment User: Represents approval for delivering goods to the customer. This approval enables order execution and can only be completed manually by the responsible user, not by the system.

  • Click on “🚫” to approve the required sales order.

Notes:

  • Approvals cannot be completed unless both “Over credit limit” and “Past-due notes” are completed.

  • Links to related documents (CI - NR) appear only after completing the following four approvals: (Over credit limit - Past-due notes - Sales User - Collection User).

  • When the Cash Receipt (CI) document is saved, the Payment User approval is automatically completed using the same user who saved the cash receipt document.

  • The related Issue Offering (IO) document appears only after all approvals are completed. For the link to appear, the sales order must contain stock items only or a combination of stock and service items. If the sales order contains only service items, a Sales Invoice (SI) will appear instead of the issue document.

  • If control approvals are enabled, the Issue Offering (IO) link will not appear until this approval is passed.

  • If the sales order is created from a sales store, the Issue Offering (IO) link will not appear because the store may be linked to multiple warehouses, and issuing is processed through suggested orders for each warehouse.
