Updating Sales Prices
Last updated: September 17, 2026
When you need to reprice a group of stock items, you can recalculate sales prices across one or more price lists at once by applying an increase or discount percentage to a specified base price, such as the sales price, average cost, or last cost, instead of adjusting stock item prices individually or exporting and re-importing their data.
The process supports both default and custom price lists, helping you update prices for a selected group of items based on a base price, change percentage, and rounding rule specified for each price list.
Manual, not automatic
Updating sales prices is a manual process. Sales prices do not change automatically when subsequent changes occur in the price source, such as a change in the item's average cost.
Follow the Steps
Before you start: First, make sure you have permission to access the "Update sales prices" page.
| Type | Price list | Base price | Change % | Rounding | To |
|---|
- Go to the "Sales" module.
- Open the "Update Sales Prices" page.
- Click on "Filters".
Price updates are available for items with a single unit of measure only.
- Select the item balance status "Items with a Non-Zero Balance Only".
- Select the stock item classifications. The default option is "Any", and you can select only one classification.
- Select the brand. The default option is "Any", and you can select only one brand.
If you need to filter stock items based on specific documents, click on "Add Another", then enter the required document codes. You can also copy the codes and paste them directly from an Excel file.
- Click on "Apply".
- Select the price list or price lists you want to update.
- Select the base price source for each price list. The price list itself is selected by default as the price source, but you can select another price list instead.
- Enter the required change percentage.
Note: The minimum change percentage is -99% to prevent the price from decreasing to zero or a negative value.
- Select the rounding method, either round "up" or "down". The default rounding method is "Up".
- Select the rounding value. The default value is "1", displayed in the system's default currency. You can also select other values, such as 5, 10, or 20.
Settings for each price list
| Setting | What it does | Allowed values |
|---|---|---|
| Base price | The price the change percentage is applied to. | The list itself, another list, average cost, or last cost. |
| Change % | Amount to increase or decrease. Use a negative number to lower prices. | Minimum -99%. Required. |
| Rounding | Direction to round the result. | Up (default) · Down |
| To | The multiple the price is rounded to. | 1 (default) · 5 · 10 · 20 |
The new price is calculated by applying the specified change percentage to the selected base price. The system first multiplies the base price by (1 + change percentage ÷ 100) to calculate the updated price, then applies the selected rounding method and value to determine the final price.
For example, if the base price is 500 and the change percentage is 1%, the calculated price is 505. If you select round up to the nearest 10, the final price will be 510.
Calculation method
Notes
- A price list cannot be selected as the base price source for another price list if both price lists will be updated in the same operation.
- If you leave the change percentage field blank, an alert will appear asking you to complete the required data before proceeding.
- You must select the "Export Results After Update" option before clicking on "Update". It is selected by default as "Export All", with the option to change it to "Export Incomplete Only". The results file is prepared based on the option selected during the operation.
- Click on "Update".
The system displays a summary of the update results, including the total number of stock items and price lists included in the update, the number of successful and incomplete operations, as well as a sample of the incomplete results, if any.
Important Things to Know
- You can automatically export the update results after completing the operation, with the option to export all results or only incomplete results. The exported file includes details such as the item code, price list, base price source and value, change percentage, rounding method, price before and after the update, update status, and the reason for incomplete updates, if applicable.
- Export files containing 10,000 rows or fewer are downloaded directly, while files exceeding this limit are processed in the background and sent to the user's email address.
- The maximum number of updates per operation is 50,000, calculated by multiplying the number of items by the number of selected price lists. If this limit is exceeded, reduce the number of items or price lists using the available filters.
- Some results may appear with an "Incomplete" status if the base price is zero or if rounding causes the final price to become zero.

Troubleshooting
Before the update: messages that block you
These messages appear before you can run the update, and block you from continuing until you fix the cause.
| Message | Fix |
|---|---|
| Select at least one price list before running the update. | Select at least one row in the table. |
| Change % is required for all selected price lists. Please fill in the highlighted fields. | Enter a number in every highlighted "Change %" field, or deselect those lists. |
| Conflict: one of the selected price lists is used as the base price for another selected list in the same operation. | A list can't depend on another list updated in the same operation. Change the base price, or run the two lists in separate operations. |
| Total operations exceed the maximum allowed (50,000). | Narrow the scope: fewer items via the filters, or fewer selected price lists. |
| The update could not be completed. Please review the price list table and try again. | Review the table settings and retry. If the issue persists, contact technical support. |
After the update: why do some results appear "Incomplete"?
These statuses appear in the results summary after you run the update, and don't stop it from completing the rest of the items.
| Status | Cause | Fix |
|---|---|---|
| Zero base price | The selected base price was zero. | Enter a cost or base price for the item, or choose another base. |
| Zero result | The result after rounding became zero. | Use a smaller "To" value, or choose round up. |
