Paying on Account Sales Order

When collecting payments from customers or third parties, such as shipping companies, a payment represents the total amount of one or more invoices within a specific period. Therefore, allocating this amount to the corresponding orders or invoices is crucial to ensure accurate payment status updates in the system.

Here's how to do it in detail.

Paying on Account Sales Order

“Edara” allows payment by searching for a sales order in two ways:

1- Searching for a single sales order

  • Go to the Accounting module.

  • Open the “Payment” page.

  • Search by SO Code, Cash In, Notes Receivable, SO Card, or Payment ID.

  • Click on “Enter”.

  • Select the “Treasury” or “Bank” -if valid-

  • Select the payment amount.

  • Select the fees amount -if any-

  • Add a comment -if any-

  • Click on "Pay".

2- Advanced search

You can use this method when you need to pay multiple sales orders, and the steps are as follows:

  • Go to the Accounting module.

  • Open the “Payment” page.

  • Click on "Advanced Search".

  • Select the date on which the sales orders were made.

  • Type the Customer Name/Tag.

  • Type the name of the Salespersons -if any-

  • Select the “Currency” type from the drop-down list.

  • Select the “Payment Status” (unpaid).

  • Select the “Fulfillment Status” (Fulfilled or Not fulfilled).

Note: The Fulfillment status refers to the issuance status of the stock items linked to the sales order. You can select "Fulfilled" when the stock items have been fully issued, and "Not fulfilled" for either partial or no issuance cases.

  • Choose the “Proposed payment” in the sales order (Cash - Installments - On account)

  • Click on "Search".

  • Mark (✅) the orders to be paid.

  • Click on "Show Payment".

  • Ensure the account name is accurate, with the option to edit it if necessary.

  • Click on "Pay".

Note: You can change the payment date to a previous date if you have permission.
