Editing Incomplete Documents for Posting

To be able to post documents, you must ensure that there are no incomplete documents, meaning all documents are linked to a Second Party or Cost Center, and all entries are balanced. Therefore, you should display and edit them so they can be posted.

Editing Incomplete Documents for Posting

  • Go to the “Accounting” module.

  • Open the “Post to GL” page.

  • Set the required conditions.

Note: You can choose suitable conditions to display the entries you want to post. For example, you can post a specific transaction type, select a certain period, or post transactions related to a specific account.

  • Set the entry status to “UN-posted”.

  • Click on “Generate”.

Note: Incomplete documents are highlighted in red.

Linking the Document to a Second Party

If the document is missing a “Second Party”, the system provides two ways to link it:

Method 1: Editing Directly on the Document

  • Double-click on the document.

  • Click on “Edit”.

  • Click on the “🔍” icon.

  • Enter the desired account name and click on “”.

  • Click on “Update”.

Method 2: Linking the Account via Other Parties

  • Go to “Data”.

  • Open the “Warehouses interface” page.

  • Go to “Other parties”.

  • Select Other Parties from the dropdown menu.

  • Enter the GL account name to link it to the second party.

  • Click on “+” to link.

  • Click on “Save”.

Note: If the second party is linked to a Zero Sales Account, ensure the linking steps are correctly followed before updating the document.

  • Go back to the document.

  • Update the Work Order linked to the entry. This will automatically add the account to the previously empty second-party field and prevent the issue from recurring in new documents.

Linking the Document to a Cost Center

You can do this in two ways:

Method 1: Editing the Cost Center directly in the Document

  • Double-click on the document.

  • Click on “Edit”.

  • Click on the “🔍” icon.

  • Enter the desired account name and click on “”.

  • Click on “Update”.

Method 2: Linking the Warehouse to a Default Cost Center

  • Go to “Data”.

  • Open the “Warehouses interface” page.

  • Select the warehouse.

  • Click on “Save”.

  • Go back to the document.

  • Update the Work Order linked to the entry so the cost center is automatically added to the previously empty side, preventing the issue from recurring in newly linked orders.

Note: To avoid repeating this issue in new orders, you must require users to enter a cost center for accounts that accept cost centers by following these steps:

  1. Go to “Settings”.

  2. Open the “Module settings” page.

  3. Go to the “Accounting” tab.

  4. Enable the "Enforce cost center entry" option.

  5. Click on “Save”.

Handling Unbalanced Entries

  • Double-click on the document.

  • Click on “Edit”.

  • Make the necessary adjustments to balance the entry.

  • Click on “Update”.

Note: To avoid saving unbalanced entries, make sure the setting "Allow saving UN-balanced JE" is disabled:

  • Go to “Settings”.

  • Open the “Module settings” page.

  • Go to the “Accounting” tab.

  • Disable the "Allow saving UN-balanced JE" option.

  • Click on “Save”.

After completing the review, you can start the posting process.
