Preventing Sales Orders Over the Credit Limit

Last updated: November 2, 2026

When you want to keep sales staff within the credit you approved for your credit customers, you can block saving a sales order if saving it would take the customer over their credit limit, so the order stops at saving instead of the overrun being found after it's created.

The setting applies only to credit customers. It runs whenever a sales order is saved or updated: from the sales order screen (create and edit), through the API, or through an import.

No exceptions

This setting doesn't include an exception users list or a way to override the block at the moment.

Follow the Steps

  • Go to "Settings".
  • Open the "Module Settings" page.

Note: The default selection on this page is the "Sales" module.

  • Go to the "Transaction Details" section.
  • Enable "Prevent saving sales order if customer exceeds credit limit".
  • Click on "Save".

Once the setting is on, every time a credit customer's sales order is saved or updated, the system checks whether saving it would take the customer over their credit limit. If it would, the save is blocked, the sales order isn't saved, and this message appears: "Cannot save the sales order. The customer has exceeded the credit limit."

Saving result by setting and customer type

What happens when you save a sales order depends on the setting, the customer type (cash or credit), and whether saving would take the customer over the credit limit:

SettingCustomerResult
OffAny customerThe sales order saves regardless of the customer's credit limit. This is the current behavior and doesn't change.
OnCashNo check is made, and the sales order saves normally.
OnCredit, and won't exceed the credit limit after savingThe sales order saves.
OnCredit, and would exceed the credit limit after savingThe save is blocked and the credit limit message appears.

Important Things to Know

  • The setting applies only to a credit customer (payment type "Credit"). For a cash customer, the credit limit isn't checked and the sales order saves normally.
  • The check runs every time a sales order is saved or updated: from the sales order screen (create and edit), through the API, and through an import.
  • Sales orders saved before you enable the setting aren't checked again until they're edited and saved again.
  • The setting doesn't change the existing credit limit calculation or the credit limit approval conditions.

Try It Yourself

Sample data — it doesn't affect any real data. Turn the setting on or off, then change the customer in the sales order's "Customer" field and press "Save" to see what happens in each case. You can open the customer master file from the icon next to the customer's name.

You May Be Wondering

Does the setting apply to cash customers?
No. The setting applies only to credit customers (payment type "Credit"). For cash customers, the credit limit isn't checked and the sales order saves normally.
How does the system decide that the customer would exceed the credit limit?
The check uses the same credit limit calculation already used in the credit limit approval conditions. This includes how the outstanding balance is calculated, how payments on the sales order are treated, and how a credit limit of zero or an empty credit limit is handled. The setting doesn't change the existing calculation.
