In many cases, goods are received from suppliers in boxes (or cartons), where serial numbers are written on the outside of each box based on the number of items inside.
Instead of adding serial numbers individually—which can be time-consuming—Edaara provides the Run Method feature, allowing you to add or edit serial numbers in documents in bulk.
Adding Serial Numbers in Documents in Bulk
Go to the “Sales” module.
Open the “Sales Order” page.
Search for the sales order you want to edit using the “🔍” icon.
Click on “Edit”.
Click on the “
” icon in the “Serial number” field.
Click on “Generating Method”.
You will then see three different options that you can use, as follows:
1- Auto fill
Here, the serial numbers are sequential and consist of numbers or letters and numbers, provided that they end with a number. They can be generated by following these steps:
Enter the “First serial”.
Enter the “Last serial” or the Count to be generated in bulk.
Click on “Generate”.
Click on “Save”.
2- Compose
Here, the serial number consists of a fixed part at the beginning, a fixed part at the end, and a sequential part in between. It is generated using the following steps:
Enter the “Starting serial” (start of the sequential part).
Enter the “Ending serial” (end of the sequential part), or enter the Quantity to be generated in bulk.
Add the fixed prefix in the “Add prefix” field.
Add the fixed suffix in the “Add suffix” field.
Click on “Generate”.
Click on “Save”.
Note: The “Prefix” and “Suffix” fields contain fixed letters or numbers that do not change, while the “Starting serial” and “Ending serial” represent the changing numeric part generated for each serial number.
3- Import
This option allows you to import serial numbers from an Excel sheet. It is used when serial numbers are not sequential.
Click on “Choose File”.
Select the file that contains the serial numbers you want to add.
Note: The file must not contain any column headers (as shown in the example).
Click on “Import”.
After importing, an additional “Edit” section will appear, allowing you to modify the imported serial numbers if needed.
Click on “Save”.
Editing Serial Numbers in Documents in Bulk
You may need to edit some serial numbers after adding them to the system. Edaara allows this through the following methods:
1- Find & replace
You can replace an existing serial number with a new one using these steps:
Enter the serial number you want to change in the “Find what” field.
Enter the new serial number in the “Replace With” field.
Click on “Replace”.
Click on “Save”.
Note: You can also search for a common part shared by multiple serial numbers and replace it in bulk in a single step.
2- Adjust
This option allows bulk editing of sequential serial numbers by adding a fixed prefix and/or suffix.
Add the Prefix.
Add the Suffix.
Select the sequential serial numbers you want to edit using the “Start from SR” and “Till sr” fields.
Click on “Adjust”.
Click on “Save”.
Note: The Prefix and Suffix fields contain fixed letters or numbers that do not change, similar to the Compose option mentioned above.
Notes:
You can also delete all added serial numbers by clicking on “Clear all”.
This feature can be used across all documents in the system, not only Sales Orders.
